00:00 notion just released home and it's a
00:03 real game changer so in this video you
00:06 will learn what actually is home how to
00:09 make the most out of this new feature
00:11 and how home solves one of Notions
00:13 biggest problems well at least partially
00:17 first up what actually is home well home
00:20 is a new section at the top of your
00:21 notion sidebar and it's designed to be
00:24 your One-Stop shop for all your
00:25 activities in notion think of it like an
00:28 outof thee boox readymade personal
00:30 dashboard for you and here's what it
00:33 looks like up top we have a nice
00:35 greeting and then we see our most
00:37 recently visited Pages then we have the
00:39 my task section we'll talk about in a
00:41 second because this is the most amazing
00:42 part and then we see feature templates
00:45 and a learn section that's at least if
00:47 you use notion in single player mode in
00:49 multiplayer mode so if you're in a
00:51 workspace with several team members you
00:53 will also see a suggested for you and a
00:56 trending section and this automatically
00:58 suggests you certain documents that you
00:59 should should look at based on your
01:00 behavior so in suggested for you right
01:02 this is like based on your personal
01:04 preferences and document types that you
01:06 usually look at whereas trending shows
01:07 you what is like currently most viewed
01:09 in a certain team space so particular in
01:11 larger organization right where you have
01:13 a lot of things going around and you
01:14 might want to just you know stay in the
01:16 loop for things that are going on this
01:17 is great plus you can use this little
01:19 toggle here that it says in general to
01:21 filter down by certain team space so you
01:22 know always you know what the marketing
01:24 team or operations is currently
01:26 obsessing about oh and notion is rolling
01:28 this feature out slowly over the next
01:30 few weeks so if you don't see it in your
01:32 workspace yet don't worry it is
01:34 prioritized for team work spaces though
01:36 so if you use notion single player mode
01:38 you might have to wait a little bit
01:39 longer actually let me know Down Below
01:41 in the comments whether you have access
01:42 already I'd love to know now let's take
01:44 a look at how you can make this truly
01:46 use the current customization options
01:48 are still a bit limited it really is an
01:50 outof the-box solution but we can still
01:52 tweak it a little bit first up you can
01:54 change the way it greets you so if I
01:56 don't want it to call my name and I say
01:57 say let's you know call me champ that's
01:59 like The Right Start in the morning you
02:01 can just click on your name and do that
02:03 and then what you probably much more
02:04 likely want to do is make this your
02:06 default page so by clicking on the three
02:08 dots on the top right corner you can say
02:10 change default start page and here you
02:12 have the option to either pick home so
02:14 that means whenever you open notion or
02:16 you open you know a new page with a
02:18 command tab command it opens home or you
02:21 can have your last visitor page or the
02:23 top page in your left sidebar and very
02:26 important top page in left sidebar that
02:28 uh counts your favorit so you know if
02:30 you have a very top favorite it would
02:31 open that otherwise if you want to start
02:33 working with home you can that through
02:35 this one then next up the other setting
02:37 in here you definitely want to use is
02:38 show and hide widgets because honestly I
02:41 don't care about feature templates and I
02:42 don't care about the learn section
02:43 that's maybe great right for someone who
02:45 just gets started by no with notion but
02:47 uh for me I don't really want to see
02:48 that so I will click on here and I will
02:50 hide both these sections and again right
02:52 if you're on a team workspace uh when
02:54 you click on here you will also have the
02:56 option to uh hide the feat shot and the
02:59 trending page sections so these parts
03:01 are all nice but the true power lies in
03:03 the new my task feature this section
03:06 allows you to pull in tasks from
03:08 anywhere in your workspace regardless of
03:11 which database they live in so it
03:12 finally helps you to consolidate you
03:14 know all that distributed all the
03:16 distributed information into one single
03:18 place and when you start out you
03:20 probably don't see anything here unless
03:21 someone in your workspace already set up
03:22 for you so you need to go actually to
03:24 the databases and designate them as task
03:27 databases because remember notion is
03:29 pretty much line to all the building
03:30 blocks that we have so we need to tell
03:31 it well this is a task database all
03:34 right doing so is super easy let's just
03:36 assume here are I you know I have
03:38 company tasks and I have some private
03:39 tasks here and then uh I can just click
03:41 on the three dots here and then say turn
03:43 into task database and if I do that it
03:45 will ask me to Now map properties
03:48 because everything that wants to show up
03:50 in home needs to have a status a
03:52 responsible person and a date so you
03:54 need a status property a people property
03:56 and a date property so in this case
03:58 right pick the property that represents
03:59 the status well that's in my casee
04:01 status but I could also create a new and
04:03 different one if that wouldn't work I
04:05 need then one that represents the
04:07 assigned person and you see mine is
04:08 called responsible so that doesn't
04:10 matter you don't need to match the names
04:11 you just need to you know functionally
04:13 have something that represents who it is
04:15 assigned to and then last but not least
04:17 the date property so I will do that and
04:19 now I have these task and none of them
04:20 are assigned to me but let's actually
04:21 assign these two here uh quickly to me
04:24 and now if I head over to uh home I will
04:28 see that these two tasks here pop up in
04:31 this my to-do View and now if I go to
04:33 the other task database and I turn that
04:35 one into one as well right so let's say
04:36 okay here turn into task database status
04:39 that already exists data exists I don't
04:41 have a assigned to property here but I
04:43 can just create it while I'm at it so I
04:45 just click on oops create a new turn
04:47 into task database and now we get this
04:49 assigning here and again right I just
04:50 put myself in here for apply to the
04:52 competition and now I see I have all the
04:55 three tasks here showing up in one and
04:58 the same view and this Con Consolidated
05:00 task you can now be edited pretty much
05:01 the same way you're used to from other
05:03 databases so of course can you know
05:04 start by resizing The Columns a little
05:06 bit I can also of course reorder them
05:09 and you see on the side I will always
05:10 see okay where does this task actually
05:12 come from I can also open the task and
05:14 it will open the actual instance in the
05:17 um area where it belongs to right so
05:19 this is currently um if I you know type
05:21 something here you know hello this is
05:24 great and I go out of it and I go them
05:26 back to the actual instance of it right
05:28 so he applies competitor hello this is
05:30 great you see it updates it so it really
05:32 is the same task right it doesn't just
05:34 show you like a mirrored version of it
05:36 uh you have then of course the usual
05:38 filters and sorts which are indicated
05:40 here on this one by like these icons
05:41 instead of the usual uh filter and sort
05:45 language so that might be a bit
05:46 confusing but I hope we get used to it
05:47 quickly so we can say Okay filter
05:49 actually by default of course shows
05:51 things that are assigned to me and
05:52 across uh to do and in progress status
05:54 but I might want to have something else
05:56 where I want to say okay only show me
05:57 things where did Du date um is this week
06:00 of course now nothing matches but I can
06:02 just say well this okay should be today
06:04 and then it will appear here again or I
06:07 can just go through this right to add a
06:08 new task right so I can click on plus
06:10 and if I add a new task so okay let this
06:12 let's say this is um you know go see a
06:15 doctor I can now here in the top right
06:17 say move to company task or no actually
06:19 this is not going to in company task
06:21 this is supposed to go in private task
06:22 so again without ever leaving home you
06:24 can uh distribute your tasks into the
06:27 different areas we can also change the
06:28 sort right by clicking on here the due
06:30 date ascending by default and most
06:32 importantly we have a limited amount of
06:34 General database settings under the
06:36 three dots right so I can click on here
06:38 and I can now say well I don't want to
06:39 see them as a table I would like to see
06:40 them as a b now one thing uh to keep in
06:43 mind when you create a b notion change
06:45 the default settings for boards recently
06:47 so that it hides empty groups by default
06:49 so you want to go in here click on board
06:51 and then where it says Group by status
06:53 click in here and then turn off hide
06:55 empty groups because on account one
06:57 board right you want to see all the
06:58 different levels so you can actually
06:59 drag and drop items between them and one
07:01 thing I already realized while testing
07:03 is if you do it initially like it seems
07:04 to be bugged right you can't drag it
07:05 over here but if you then just like go
07:07 in here again and say color columns uh
07:10 you can turn it off afterwards and again
07:11 it still will work but if you color
07:13 columns once then like the the drag gets
07:15 a so I think that's a bug that should
07:17 hopefully be fixed uh very very soon and
07:19 you see if I drag them into complete
07:20 they disappear because currently I have
07:22 it set so that um the status is only to
07:25 do or in progress one last Super useful
07:27 feature uh if you click on the three
07:29 dots you can also then by default um if
07:31 you're on a board it's the subgroup if
07:33 you're on a different view uh it's the
07:34 normal group feature uh say that you
07:36 want to group these by The Source this
07:38 is super super helpful right to not get
07:39 confused where tasks come from so I can
07:41 say okay please group them by S and I
07:43 see okay these are my private tasks
07:45 these are my other task and then again
07:46 if you have tons of task databases this
07:48 comes in super handy because you know
07:49 exactly okay marketing wants this from
07:51 me or you know operations wants that
07:53 from me I can't stress enough how
07:56 important this my task view will become
07:58 soon for company and teams because it
08:00 helps us solve one of Notions biggest
08:02 issue and that's access rights right in
08:05 an Ideal World we would actually have
08:07 just one task database for the company
08:09 with a few exceptions but we would have
08:11 one Global database and everyone would
08:13 add a task to it and we would just use
08:14 different views to segment it and show
08:16 it on personalized dashboards but that
08:18 means everything is accessible to
08:20 everyone and particular in bigger
08:22 companies that's often just not possible
08:24 at least HR and legal need to have a
08:26 segmented part in the workspace right or
08:28 the same with docs now so far you really
08:31 only had a few options right you either
08:33 could say okay well we have different
08:35 database and then we you know stack
08:36 views below each other but it's not
08:38 ideal but now thanks to this one you can
08:40 pull the you can have different task
08:42 databases right one for HR one for
08:44 management one for the rest of the
08:46 company and then on your dashboards you
08:48 can pull them all into one view so that
08:49 regardless of access levels you can see
08:51 them so that's huge another really big
08:54 use case is that now team members can
08:57 use their private settings in the oce
08:59 so if you are here on your sidebar
09:01 whoops and you go to very bottom and in
09:03 this private section you have something
09:04 you know you have your own Tas that you
09:06 don't want anyone else to see you can
09:08 now also pull them into this one because
09:10 this home is only accessible to you so
09:11 you can then see your own private tasks
09:13 side by side with the company tasks and
09:17 last but not least you can also do this
09:19 to help a bit in the typical agency
09:21 setting right where you have um a bunch
09:23 of clients and you want to share the
09:24 tasks with them that you're working with
09:26 on for them but you don't want them to
09:28 see all your other tasks as well now
09:30 it's still not a perfect solution but at
09:32 least you can now create you know
09:33 different task databases for different
09:34 clients and then use home to pull it all
09:37 together and still see it in one view
09:38 again not the perfect solution right
09:40 there's still a few other things like
09:41 roow level permissions that would even
09:43 be better but in the meantime this is
09:46 super super helpful to make your team
09:48 workflows a lot better just to show you
09:50 a super simple setup for clients that
09:52 you can pull up in few minutes so here I
09:54 have a new client database and what I've
09:56 done is in this client database I've
09:57 created a template and and this database
09:59 template if we look at it uh for now
10:02 only has one thing it creates a new
10:04 database right very importantly we
10:06 unfortunately need to create separate
10:08 databases uh for each of them and uh
10:11 I've just set it up to have the name the
10:13 status the person and date right so all
10:14 the property fields that we need for my
10:16 tasks and then I clicked in here and
10:17 said well turn this into a task right I
10:20 can already do that on a template so I
10:21 don't have to do it every single time
10:23 and now I can go out of here and I can
10:26 say well okay on my tasks for home right
10:28 you can trigger the way you want it for
10:29 example through a button that adds a
10:32 page to client as the new template
10:34 whenever I click it and then we have
10:35 okay new client and all I need to do is
10:38 then to unboard them or like to set up
10:39 to like rename this so let's say you
10:41 know notion or like apple I think Apple
10:44 just hired me to help them set up their
10:45 notion workspace and I wait a second for
10:48 uh the rest of the template to load and
10:51 there we have it so the next thing what
10:52 I would do is rename this right
10:54 unfortunately again we can't like do
10:55 that automatically so I just want to
10:57 make sure that I have SN name in here
10:59 and now if I head over back to my uh
11:02 morning home and reload this I will see
11:05 the uh all the other tasks pop up
11:08 actually no need to reload I just had a
11:09 filter set up whoops so let's remove the
11:12 weak filter here and now the other tasks
11:15 should pop up here yeah now it works so
11:16 I see my Apple tasks one 2 3 and now we
11:19 can just repeat this right so I have
11:21 another client so okay uh let's uh spawn
11:23 a new client this one would be um oh I
11:26 think Nvidia with all their growth they
11:29 also really really need a notion
11:30 consultant to help them make sense uh of
11:33 everything so Nvidia tasks and again
11:35 same game right I go back here and after
11:37 a brief delay I see now my Nvidia tasks
11:40 pop up in there as well now one uh quick
11:43 thing uh to note and that is that you
11:45 see there are also client tasks in here
11:47 and that's because uh I turned like I
11:48 added already some tasks some default
11:51 tasks on uh the the template um here
11:54 right on the database template and those
11:56 unfortunately also get pulled into into
11:59 your main database so actually best
12:00 practice would to be not to do that
12:02 right it was just for the sake of the
12:03 demonstration here and instead have
12:05 probably um a button here right and call
12:08 this you know like um add default tasks
12:10 in case you have any default tasks and
12:13 then uh on the click of the button say
12:15 Okay add them to uh the uh client task
12:18 or track them in individually so uh that
12:21 would be the complete setup but yeah
12:22 this is just a quick showcase right of
12:24 what is possible thanks to uh this one
12:26 setup that now pulls everything into one
12:28 View so to-do list for today would be
12:31 open notion check whether you have
12:33 access to home and if so go to your
12:35 databases and turn them into task
12:37 databases so that they pop up here in
12:39 this one centralized view the rest of
12:41 your team will thank you for it notion
12:44 home is still not perfect of course I'd
12:46 love to be able to customize it further
12:48 and add my own elements to it but it's a
12:51 super promising start imagine to be able
12:53 to pull in from whatever databases you
12:55 have in your workspace all into one view
12:58 really really powerful and while we're
13:00 waiting for these next features to
13:01 release why not have a look at my
13:03 favorite notion hack of 2024 just click
13:06 here and I will see you in a second
