00:00the rules of how to be productive
00:01creative or just organized at work and
00:04in your daily life have completely
00:06changed over the last few months and
00:08years with the rise of AI tools and I
00:11would know having been on the hunt for
00:13the most efficient and time-saving
00:15habits and productivity hacks ever since
00:17so I want to share seven AI productivity
00:20tools for normal people that are neither
00:23fancy nor do they cost a cent that can
00:26support you with a simple everyday tasks
00:29and make your life so much easier the
00:32first one might be known to one or the
00:34other already because over 1 billion
00:36people have used this tool so far it's
00:38available in 30 plus languages and more
00:41than 20 000 companies worldwide are
00:43using its services in my opinion it's
00:45the best translator that is out there
00:48and that lets you not only translate
00:49single words but also sentences bullets
00:52or entire documents I'm talking about
00:54depot.com which I've been using for
00:57years now and it's not just a simple
00:59translator but uses AI powered machine
01:02translation it uses an artificial neural
01:05network to predict the likelihood of a
01:08sequence of words typically modeling
01:10entire sentences in single integrated
01:13model that means it's basically a smart
01:15translator that helps you to create
01:17human-like real life sentences as if a
01:20native speaker would have written them
01:22deeply is completely free for basic
01:25private use but they also have other
01:26pricing plans if you want to unlock more
01:28features or have a team or company using
01:30it people can detect languages translate
01:33in both directions provide Alternatives
01:35show some full sentence examples but
01:38translate entire documents and PDF word
01:41or PowerPoint format just recently
01:43deeply has released a new tool in beta
01:45people write which helps you to optimize
01:48your text by correcting grammar or
01:50punctuation mistakes and suggesting
01:52Alternatives or helps you to rephrase
01:55sentences and this might sound very
01:58similar to another awesome end free AI
02:01tool for everyday use which is grammarly
02:03grammarly is an AI powered writing
02:06assistant it helps you to write mistake
02:08free in whatever program you're working
02:10on also grammarly is quite popular but
02:12in my opinion still very much
02:14underestimated for the value that you
02:16get for free as an individual you can
02:18either install the desktop app or use
02:20the Google Chrome add-in so it can
02:22review your spelling grammar and
02:24punctuation Clarity engagement and
02:27delivery to suggest Alternatives or
02:29replacements for the mistakes that it
02:31has detected having installed grammarly
02:33on your desktop you will see the small
02:35grammarly icon popping up in the program
02:38you're currently working in for me
02:40that's mostly word PowerPoint or Outlook
02:42the number on the icon indicates the
02:44number of improvements it has detected
02:46and once you click on it you will see
02:48all the mistakes a recommended
02:50alternative and the ability to accept or
02:52dismiss it the free version of premily
02:55covers correctness and Clarity but to
02:57improve engagement and delivery you need
02:59to upgrade your plan the Google Chrome
03:02extension works very similarly having
03:04installed the extension the grammarly
03:06icon with its suggestions will appear
03:08whenever you're riding on a website
03:10which could be LinkedIn Twitter Gmail
03:12WhatsApp or Facebook the next AI tool is
03:16embedded into another popular
03:17productivity tool which is notion you
03:20might know notion as being one of the
03:23best and most well-known note-taking
03:25tools that allow you to not only take
03:27notes create dynamically linked
03:29databases but also connect to other
03:31tools or programs in addition to those
03:34commonly known features notion has
03:36introduced notion AI an AI powered
03:39writing assistant directly embedded with
03:42the tools other functions the advantage
03:45here is that you do not need to jump
03:47back and forth between any other
03:49third-party AI tool and your nodes in
03:52notion but notion AI Works in notion
03:55with all of the information that is
03:57already available there notion claims
03:59that when notion AI you will be able to
04:02work faster write better and think
04:04bigger having used notion AI now for
04:07quite a while I can tell it's true if
04:09you have an overview of notion ai's
04:11capabilities and how it works it can
04:13truly support your daily life and make
04:17it easier and tasks less tedious so
04:19let's take a look at the three use cases
04:21of how notion AI can support you first
04:24to work faster in notion you have the
04:26ability to access all notion AI features
04:29by pressing space some ways it helps you
04:32to work faster by summarizing very long
04:34meeting nodes creating tables or action
04:37items or transforming long form text
04:39into short bullets second notion AI
04:42helps to write better with the whole
04:44range of functions to edit or review a
04:47page or paragraph in notion you're able
04:49to improve the writing in general fix
04:51spelling and grammar translate a
04:53paragraph or even change the tone into a
04:56more formal friendly or casual one and
04:59finally notion AI helps you to think
05:01bigger you can write prompts to write a
05:04creative story or essay but also to help
05:07you brainstorm ideas for example for a
05:10marketing campaign or activities for the
05:12next team event it's not only that
05:14notion AI helps you to work faster
05:16better and be more creative but it also
05:19takes some typing work of your shoulders
05:22but imagine that you did not only have
05:24such a writing assistant in notion but
05:27in all your other commonly used programs
05:30at work no need to type long emails
05:33proposals or contracts manually anymore
05:35but you would have an AI powered writing
05:38assistant at your disposal anytime you
05:41could even move around in your office
05:43and still be working because you would
05:45just dictate whatever you want to write
05:48down and it would appear in your
05:50document as if by Magic that could be
05:52your Reality by using Microsoft's
05:54dictate function which is available in
05:57all text-based Microsoft programs such
05:59as well add PowerPoint or Outlook as the
06:02name suggests the dictate function likes
06:05to dictate sentences or bullets which
06:07are automatically written down in the
06:09document and it works pretty well you
06:11can change the language and enable auto
06:13punctuation by the settings or insert
06:16punctuation edit or format the text
06:19navigate within the document or create
06:22lists or tables just with a few spoken
06:25commands action items from the meeting
06:31aligned with legal counsel
06:36adjust wording of the contract
06:43once you have written your text either
06:45by yourself or with the help of notion
06:47AI Depot or grammarly for example it's
06:50still not certain that this is easy to
06:52understand and to comprehend in general
06:54you should always aim for simple
06:56language that everyone can understand
06:58few foreign words and no complex grammar
07:02that will help you to get your message
07:04across and make it accessible to many
07:07people another AI tool that helps you
07:09with that is called Hemingway there's a
07:11browser and a desktop version of that
07:13app that helps you to improve your
07:15writing and readability in particular it
07:18highlights lengthy complex sentences and
07:21common errors so if you want to check
07:23your text just copy and paste it into
07:25the browser app and see what Hemingway
07:27suggests on the right hand side it
07:29indicates an overall readability score
07:31that is better the lower below it
07:34suggests how many adverbs you're using
07:36if you use passive voice if your phrases
07:38have simpler Alternatives and how many
07:41of the sentences are hard or very very
07:43hard to read the text is then
07:45highlighted in the same color so you can
07:47rephrase it to simplify and get a better
07:50score moving away from Pure text to a
07:53more visual way of packaging via
07:55presentations one of the most common
07:57tools to create presentations is
07:59Powerpoint but often it is difficult to
08:02come up with appealing slides that do
08:04not only deliver a great message but
08:06also look nice and appealing to the
08:09audience Microsoft has a solution for
08:11that namely the built-in PowerPoint
08:13designer this is a tool that is
08:15available for all Microsoft 365 users
08:18directly in PowerPoint and helps you to
08:20optimize your slides or suggest
08:22professional looking slides once you
08:25start creating a new presentation the
08:28designer either pops up right from the
08:30beginning and lets you choose a
08:31PowerPoint design or you can activate it
08:33via the design tab under designer once
08:36you add text shapes or pictures and
08:38start to rearrange a slide the designer
08:41suggests different slide layouts on the
08:43the right hand side if you don't like
08:45any of them you can even request to see
08:47more design ideas once you click on a
08:49design it will be applied to the slide
08:51and you can continue to change or add
08:54text theoretically you could fully rely
08:56on the designer and just insert a bunch
08:59of text and maybe some pictures or
09:00screenshots without thinking about the
09:02layout at all afterwards you could just
09:05run the designer and let it recommend
09:07nice designs that you can use such that
09:10you would not have to be bothered about
09:12layout but purely focus on the content
09:15well I'm not saying that this will
09:16result in a perfect presentation but
09:19it's certainly a way to come up with a
09:21great presentation from scratch in very
09:23limited time and finally there's chat
09:26GPT but don't just click away because
09:28you think you have heard already every
09:30single use case of chat gbt I bet not
09:33yet as I said I want to show AI tools
09:36for normal people that should support
09:38and not hinder you in your daily work so
09:40you can finish earlier or get more done
09:43in the same time so yes chat GPT is an
09:46awesome tool that can seemingly do
09:48everything but here are eight super
09:50useful and practical quick tips on how
09:53chat GPT can help you in your daily job
09:55first it can summarize long text or
09:57meeting minutes in just a few bullets in
09:59addition you could ask Chad GPT to come
10:02up with concrete action items
10:04responsibilities and deadlines based on
10:06the summary that you have provided
10:08further you could use chat GPT to write
10:10entire documents that could be a cover
10:13letter for your next job application a
10:15job description if you're looking for
10:17new employees or colleagues or an
10:19employee evaluation that is based on
10:21just a few prompts that you're feeding
10:23the tool with chatgpt can also give you
10:26a second opinion if you're looking for
10:28someone to challenge your ideas it could
10:30also enhance your research and give you
10:33even more ideas or expand on your
10:35initial ones and make them more concrete
10:37also you could get inspiration from
10:39chechi PT on the next recruiting
10:42campaign you want to Launch or any other
10:44topic you want to brainstorm finally you
10:47could also let the tool rephrase
10:48sentences or whole paragraphs if you're
10:50not happy with them or let it change the
10:52tone of the wording such that it becomes
10:54more corporate or sales driven getting
10:57used to those AI tools will certainly
10:59make your life so much easier that if
11:01you want to become even more productive
