00:01Today, we are going to learn how to use
00:04Power BI in just 10 minutes.
00:07All organizations have a
00:09tremendous amount of data,
00:12stories behind that data,
00:14and what decisions should
00:16you make based on that data?
00:18Power BI can help us with this.
00:20We'll start with how you
00:21can import data into Power BI.
00:23Then we'll look at how you could build
00:25a data model and start to add
00:27some visuals and also filter your data.
00:30Finally, we'll look at
00:31how you can share out
00:32your reports and dashboards with others.
00:35Let's start with how
00:36you can get Power BI.
00:38open up the Microsoft Store and up in the
00:40search field on top,
00:41search for Power BI.
00:44In the results, you'll
00:45see three different options.
00:47Which one should you get?
00:49First, we have Power BI,
00:51and this allows you to view and interact
00:53with existing reports.
00:55Here we have Power BI Desktop,
00:57and this gives you the
00:59full functionality to model
01:00your data and also to build reports.
01:02Lastly, we also have the report builder.
01:06This has much of the functionality that
01:08you'll find in desktop,
01:09but it's not quite as feature rich.
01:11For this video, we're going
01:13to use the desktop experience.
01:15Simply click on this, and right here,
01:17you can click to install or
01:19have the app installed.
01:20When you launch Power
01:22BI for the first time,
01:23you'll see this initial splash screen.
01:25Over on the left-hand side,
01:27you can get data and in
01:29a moment we'll do this.
01:30Right down below, you can also access
01:32recent data sources that you've used.
01:34Here, you'll see any
01:36other Power BI reports
01:38worked on and you can also
01:39navigate to other reports
01:40that you may have access to.
01:42Over on the right-hand
01:43side, you have all sorts of
01:44different learning resources that are
01:46well worth looking at.
01:48If you don't want to see
01:49this splash screen on launch,
01:51you can uncheck this box,
01:52and this will no longer appear.
01:54For now, I'll close this window in the
01:56top right-hand corner.
01:57This drops us into the
01:59main report view in Power BI.
02:01Over on the left-hand side,
02:02here I can see that I
02:04am in the report view.
02:06have any data in here yet.
02:08Luckily, it's very easy to get data in.
02:12add data to our report,
02:13or right up here on the
02:15\"Home\" tab on the ribbon,
02:16here we also have the
02:17option to import data.
02:18When I click on this \"Get Data\" dropdown,
02:21you'll see that there are all sorts of
02:22different sources that
02:23you can pull into Power BI.
02:25Chances are, if you have data,
02:27you'll be able to bring it in.
02:29For this video, I'm going to
02:30use data in an Excel workbook.
02:32If you'd like to follow along,
02:33I've included a link to this workbook
02:35down below in the description.
02:38Here, I see my workbook.
02:39I'll double-click on this.
02:41This opens up the Navigator,
02:42and this will assist me with
02:44getting my data into Power BI.
02:46Here, I see my Excel workbook name,
02:49and I see that it has two separate tables
02:51and two separate sheets.
02:53You can tell based on this icon here.
02:55I can click into one of these tables,
02:57and here I can preview the data.
02:59There's one table called \"Customers,\"
03:02the customer information
03:03at the Kevin Cookie Company.
03:04Down below, I also have
03:06order data for orders here
03:08at the Kevin Cookie Company.
03:09Then we also have sheets,
03:11but I only have the table on the sheet,
03:13so there's no other data.
03:14I'll select this table and this table.
03:18Down in the bottom right-hand corner,
03:19we have a few different options.
03:20We can load the data as is.
03:22That means that I don't
03:23want to make any changes to it.
03:25I'll basically bring it in
03:26as it looks right up above.
03:27Alternatively, we can
03:29also transform the data.
03:31Basically, make some modifications.
03:33Maybe we want to clean up the data
03:35before bringing it into Power BI.
03:37You might be wondering,
03:38\"Well, why would you
03:39want to transform it here?
03:40\"Why not just update
03:41the original Excel sheet?\"
03:45won't have edit abilities
03:46with the original data.
03:47Let's say it's a database,
03:48or maybe someone else
03:49owns the spreadsheet.
03:50In this case, you could edit it
03:52before bringing it to Power BI.
03:54For now, I'll simply click on Load.
03:56Over on the right-hand
03:58side in the data pane,
03:59here I can see that I've successfully
04:02imported these tables
04:03from my Excel workbook.
04:04Here I have all of my orders
04:06and I have all of my
04:08customer information.
04:08Down below, you'll see
04:10all of the different columns
04:12that were contained in the table,
04:13or what we can also refer to as fields.
04:16Over on the left-hand side,
04:17let's now dig into the data
04:20button for the Data View.
04:21This drops us in the Data View,
04:23and here I can see all of
04:25the different customer data
04:27within the Customers table.
04:29Now, there is one issue I noticed.
04:31Here we have a column for a country,
04:32and I say the United
04:34States for a few of these,
04:35but then here it says the U.S.
04:37Ideally, I should clean this up.
04:40I can also click into the Orders table,
04:43all the different orders
04:44that we've had here at
04:45the Kevin Cookie Company.
04:45We've been shipping a lot of cookies.
04:48Right here, there's a
04:49column called Rush Shipments,
04:50and I don't need this for my analysis.
04:52So I think I need to go back
04:55refinements to this data here.
04:56Let's click back into the Report View,
04:59and although I loaded the data,
05:02and transform the data.
05:03On the Home tab, over here under Queries,
05:06we can click on Transform
05:08Data and then Transform Data.
05:10This opens up the Power Query Editor,
05:12and we can use Power Query to modify
05:15and also clean the data
05:17before bringing it into Power BI.
05:20One thing to note is this does not at all
05:22affect the original data source.
05:24Think of it as a middle layer
05:26between your original data and Power BI.
05:28Over on the left-hand side,
05:29I can see that there
05:30are two separate queries.
05:32Each one corresponds
05:33with one of the tables
05:34that we would like to bring in,
05:35and the first one is called Customers.
05:39Here, I can see all of the
05:40data contained within customers,
05:42and if I scroll over, here
05:43I see that country column
05:45with the inconsistent
05:46reference to the United States.
05:48I can right-click on the country,
05:50and here there's the
05:52option to Replace Values.
05:53I'll click on this, and I want to look
05:56for references to US,
05:58and I want to replace
05:59that with United States.
06:01Over on the right-hand side,
06:03here I can see a record of
06:05all of the different changes
06:07One of the beautiful things is
06:09as you bring additional
06:10data in in the future,
06:11these same steps will
06:13apply to that new data.
06:15Over on the left-hand side under Queries,
06:17let's now click into Orders,
06:19and here's the column Rush Shipment.
06:21I don't need this for my analysis.
06:24I'll select this column,
06:25and up above, I can remove this column.
06:28Right over here, we see
06:29a category for Transform,
06:31and this has some of the
06:32most popular transformations.
06:34Up on top, I can also
06:36click into Transform here,
06:37and we see lots of different tools
06:40modify and clean up your data.
06:42For now, though, I'm happy
06:43with the way everything looks.
06:44I will click on Home,
06:45and then Close and Apply,
06:47and select this option.
06:48Back in the main report view,
06:50on the left-hand side,
06:51let's now click into the Model view,
06:53and here I can see the data model.
06:56Here I see the two different tables,
06:57and I can also see that Power BI
06:59automatically detected the relationship
07:02between these two tables.
07:04The Customers table has a customer ID,
07:05and the Orders table
07:06also has a customer ID.
07:08If, for whatever reason, Power BI
07:10did not detect the relationship,
07:14an item from one table
07:15over onto the other table,
07:16and that will establish a relationship
07:18between these tables.
07:19Let's now go back into the report view,
07:22building out a nice report.
07:23Back now within the report view,
07:25I want to pull together a report,
07:28and a report is simply a collection
07:30of different visualizations.
07:32Over here on the right-hand side,
07:33you can see all of the
07:34different visualizations
07:35that you get with Power BI.
07:37I want to show cookies shipped over time,
07:40and I think a line chart would work
07:42really well for that.
07:43To insert one of these visualizations,
07:45here I simply click on a line chart,
07:48and here it places a
07:49placeholder in my report.
07:51Over on the right-hand side,
07:53here I see all of my
07:55data that I brought in,
07:56and I want to show cookies shipped.
07:58Here in my Orders table,
07:59there's an option called Cookies Shipped.
08:01I can take this item,
08:03and I can drag it in,
08:04and I'll place it on the Y axis.
08:07So there it shows up right here,
08:08but I also want to show it over time.
08:10Over on the right-hand
08:12side in the Orders table,
08:13I also have the order date.
08:14I can press and hold on this,
08:16and I will drag this into the X axis.
08:18And once I place that,
08:21chart start taking shape.
08:23I can click on this handle,
08:25and I can drag it so it's larger.
08:26I can even reposition it
08:28in whatever spot I want.
08:30Right now it shows orders shipped by day,
08:33but it's a little hard to
08:34make sense of what's going on.
08:36When I click on this, down below,
08:38I have these different
08:39options where I can drill up.
08:40So instead of viewing
08:41it on a daily basis,
08:42instead I could view it on a
08:44monthly and a yearly basis,
08:45and this now looks really nice.
08:47Over on the right-hand side,
08:49again, under Visualizations,
08:52have different options.
08:52I can add a secondary Y axis.
08:54I can pull in a legend.
08:56If we go up to the top, here I
08:58could also format the visual.
08:59So here I have a few different options,
09:01and right up under General,
09:03here I could also adjust some of the
09:05different properties.
09:05For example, the title.
09:07Currently it says sum of cookies shipped.
09:09Maybe I just want it to
09:10say cookie shipped by date.
09:13could also adjust things
09:13like the text color, and let
09:15me go with this blue color.
09:16That matches the Kevin
09:17Cookie Company theme color.
09:19To exit out of this view,
09:20I'll simply click on the report,
09:23back to this base state.
09:26additional visuals to this report,
09:28and I'd like to show the total revenue
09:30that we've earned here at
09:31the Kevin Cookie Company.
09:33Of course, I could come in here
09:34and I could choose one of these visuals,
09:36or I could simply go down to the data,
09:38and here I'll check revenue.
09:40automatically inserts a bar chart.
09:42It makes a best guess for
09:44what visual would work well,
09:46but I can still modify this if I want.
09:49Over on the right-hand
09:50side, with this visual selected,
09:52here I'll select a card,
09:54and instead of showing a bar chart,
09:55it now shows a total
09:56revenue of six million.
09:57Like I've always said,
09:59there's a lot of money
09:59in the cookie business.
10:00I'd like to include one more visual
10:03that shows all of our customers
10:04here at the Kevin Cookie Company.
10:05Over on the right-hand side,
10:07I'll check the box next to customer name,
10:10and here it automatically
10:11inserts a table visualization.
10:14One of the really neat things is
10:16I can click on any one
10:17of these customer names.
10:18So let's say Acme grocery stores,
10:19and that automatically
10:21filters this line chart
10:23Remember, we connected
10:25these two separate tables.
10:27So here when I choose a customer name,
10:28it knows what revenue,
10:30and also the cookie shipped associated
10:33with that customer name.
10:35I can also press the control key,
10:37and I can multi-select customers.
10:39So let's say I want to see the revenue
10:41for these three customers.
10:42It looks like it was four million.
10:44To turn off this filter,
10:45I simply click on the
10:46side of the visualization,
10:48This report is coming together nicely,
10:51but I may want to add some additional
10:53pages in the future,
10:54maybe for different views of the data.
10:55Down below, I could simply double-click,
10:57and I could rename the
10:58page that I'm currently on,
10:59and I could click on this plus icon
11:01to add additional pages.
11:02For now though, I'd like to
11:04share this out with the team,
11:05just to start getting
11:05some feedback from them.
11:06Up on the top ribbon,
11:08over on the right-hand side,
11:09there's the option to publish.
11:11Let's click on that.
11:12Before we can publish,
11:13we'll need to save changes.
11:15For the destination,
11:16I'll select my workspace,
11:18and then click on select.
11:19And look at that success.
11:21Right over here, we can now open this
11:23on the Power BI web service.
11:26I now see my report on
11:28the Power BI web service.
11:29In the top left-hand corner,
11:31I can click on the file menu.
11:32I can embed this report on a
11:34SharePoint site, on a website.
11:36I could also generate a QR code
11:38that will lead people
11:39directly to this page.
11:40Up on top, I can also
11:42export directly to a PowerPoint.
11:44I could even embed live data.
11:46I could export a PDF.
11:47I could also share it.
11:49Here, I could type in an
11:50email address or copy a link.
11:51And over here, I could
11:53even place it directly
11:54in a Microsoft Teams chat.
11:56All right, well, it took
11:57slightly longer than 10 minutes,
11:59but hopefully that gives
12:00you enough to start exploring
12:02and building that muscle in this
12:05fantastic analytics tool.
